The organization overview is the page for everything that spans more than one administration. An accounting firm uses it to see all its clients at once. Open it with the organization name at the top of the sidebar, or pick All administrations in the administration switcher. People who only approve invoices do not get this page. It has six tabs:
You only see the administrations you can open yourself. Organization administrators see all of them.

Overview

Pick a period at the top right: This month, Last month, This quarter, This year, or Pick dates. Below the figures, a chart shows what was booked in Exact per day, week, or month. The Per administration table has one row per administration, with its purchase and sales invoices booked (Purchase booked, Sales booked), received invoices, zero-touch rate, open work, and last activity. Search it, or sort on any column. Click an administration to go there.
Sort on Open work to see which administration needs attention first.

Administrations

One row per administration: its connection, VAT number, and Chamber of Commerce number. Click a name to open the administration. Glimps needs a VAT number or a Chamber of Commerce number for payments. A row without either says VAT or KvK needed for payments. Use Edit details in the row menu to fill one in. You can only edit administrations you are a member of.

Team

Access is set per administration. A person can open all administrations of the organization, or only the ones you choose. Their role can be different in each administration. Switch between two views:
  • Per person: one row per person, with their role and how many administrations they can open. Filter on Firm, Only authorise, or Invited.
  • Per administration: one row per administration, with how many people, admins, and authorisers it has.

Roles

The Team tab names the roles by what people do:

Inviting someone

Open the form

Click Invite someone.

Fill it in

Enter the email address and pick the role. Under Access, choose All administrations, also new ones, or Choose administrations and pick them from the list.

Send

Click Send invitation. The mail names your organization and the administrations the person gets.
Pending invitations show under Invited. From the row menu you can Send again or Withdraw an invitation.

Changing access

Open the row menu of a person:
  • Change access opens their administrations. Add administrations, remove one, or set the role per administration.
  • All administrations on gives access to every administration, and to every administration that is added later.
  • All administrations off stops new administrations from being added. The current ones stay.
  • Remove everywhere takes away access to every administration you manage. You can always give access back.
In the per administration view, click an administration and use Add someone to give a colleague access.
Only an admin changes access, and only for administrations they are admin of. Giving someone all administrations needs an admin of every administration. You cannot change your own access, and an administration can never be left without an admin.

Learning

By default every administration learns only from its own bookings. With Learn from other administrations switched on, an administration that does not know how to code a line can learn from the other administrations in your organization:
  1. First, from how they booked the same supplier.
  2. Then, from how similar lines were booked, whatever the supplier.
Glimps only takes over a ledger account when those bookings agree. The switch is off by default. Only an organization administrator can turn it on or off.
This only works with the same chart of accounts. The ledger account must exist in this administration with the same number and the same name. The same goes for VAT codes. If it does not, Glimps does not use it.
The table How alike are the charts of accounts? shows, per administration: The line above the table counts the administrations where at least half of the chart of accounts matches. The more alike they are, the more this helps. A line coded this way says so. Its source reads Another administration when a sister administration books the same supplier, or Other administrations when similar lines were the reason. Check those lines the first few times.
Coding from similar lines of other administrations is a weaker signal. On its own, it never lets an invoice book without a person.

Subscription

Your plan, what you used this period, your payment details, and the invoices Glimps sent you. The subscription is shared by the whole organization. See Plans and trials and Managing your subscription.

Settings

  • Name: the organization name everybody in the organization sees. Only an admin can change it.
  • Enforce MFA for all users: makes two-factor authentication mandatory for everybody in the organization. People who have not set it up are asked to at their next sign-in.
This tab needs organization level access.
These pages used to live under Settings > Organization and Settings > Billing. Old links still work and land on the right tab, and the settings search still finds them.
