# Roles and access

> What an administrator, a user, and an approver can each do in Glimps.

Glimps has three roles. A person has one role per administration, and the same person can hold different roles in different administrations.

## What each role can do

| | Administrator | User | Approver |
| - | - | - | - |
| See and work the invoice list | Yes | Yes | Only invoices that wait on them |
| Correct readings and coding | Yes | Yes | No |
| Send an invoice to Exact Online | Yes | Yes | No |
| Ask a colleague a question | Yes | Yes | Yes |
| Approve or decline | Only if they are also an approver | Only if they are also an approver | Yes |
| Change settings and rules | Yes | No | No |
| Invite people and change roles | Yes | No | No |
| Connect Exact Online or a mailbox | Yes | No | No |
| Manage the subscription | Yes | No | No |

<Note>
  An approver sees the invoices assigned to them, delegated to them, or assigned to a group they are in. They do not see the rest of the administration.
</Note>

## Administrations and organizations

An **administration** is one set of books, matched to one Exact Online administration. An **organization** groups several administrations under one subscription.

* You switch administration with the switcher at the top of the sidebar.
* Your role is per administration. Being an administrator in one does not make you one in another.
* Access is set per administration. Someone can open all administrations of the organization, or only chosen ones.
* The [organization overview](/insights/firm-portal) shows every administration you can open at once. Organization administrators see all of them.

## Changing a role

An administrator changes roles under **Settings > Team**. The change applies the next time the person loads the app.

In an organization with several administrations, you can also set the role per administration on the **Team** tab of the [organization overview](/insights/firm-portal#team). There the roles are called **Admin**, **Processor**, and **Authorises**.

See [Team and invitations](/settings/team) for inviting people, removing access, and two-factor authentication.

<Warning>
  Removing the last administrator of an administration leaves nobody who can change settings. Appoint the new administrator first, then remove the old one.
